Alumnae, Annual Fund, and Events Coordinator
JOB TITLE: Alumnae, Annual Fund & Events Coordinator (FT)

Responsible to: Chief Advancement Officer
NDA’s Alumnae, Annual Fund, and Events Coordinator is responsible for supporting the Advancement Office by facilitating alumnae relations, coordinating the campaigns for the Annual Fund of NDA, and supporting on and off campus events. This role involves engaging with alumnae, fostering relationships, and ensuring successful fundraising efforts to achieve fundraising goals.
KEY RESPONSIBILITIES
- Develop and maintain relationships with NDA alumnae to strengthen engagement & alumnae community.
- Work closely with the Alumnae Association to coordinate alumnae communications, including newsletters, social media updates, and emails.
- Assist in planning and executing of alumnae & NDA/campus events, such as reunions & social/networking gatherings.
- Help maintain accurate and up-to-date alumni records in Raiser’s Edge (Alumnae Database).
- Act as a primary point of contact for alumni inquiries and requests.
- Assist in planning and implementing the annual fund campaign, including direct mail, email solicitations, and other fundraising initiatives.
- Monitor and track the progress of the Annual Fund of NDA, including reporting on key metrics and goals.
- Coordinate with the advancement team and internal/external stakeholders to ensure the successful execution of fundraising campaigns.
- Manage donor acknowledgment and stewardship efforts, ensuring timely and accurate communication with donors.
- Coordinate and execute a variety of NDA events on and off campus.
- Work with vendors, caterers, and other event partners to ensure the successful execution of events.
- Manage event logistics, including budgeting, scheduling, and coordination with internal departments.
- Maintain accurate records of alumnae, donors, and event participants in the Raiser’s Edge database.
- Ensure data integrity and confidentiality in accordance with NDA policies.
- Generate reports and analyze data to inform strategy and decision-making.
- Assist with grant research and grant writing
- Provide general administrative support to the Advancement Office, including meetings, managing calendars, and preparing materials.
- Assist with special projects and other duties as assigned by the Chief Advancement Officer.
SKILLS & EXPERIENCE
Education: Bachelor’s degree in a relevant field or equivalent experience.
- 2 years of experience in alumni relations, fundraising, event planning, or a related field.
- Strong communication and interpersonal skills.
- Excellent organizational and time-management abilities.
- Ability to manage multiple projects and deadlines simultaneously.
- Proficiency in Google platform, MS Office and familiarity with database management
- Attention to detail and problem-solving skills.

THE OPPORTUNITY
The Head of School is the leader of the Academy and is responsible for all aspects of the
organization and its wider community. Reporting to the Board of Trustees and serving as the
President of the Notre Dame Academy Worcester corporation, the Head of School is the
academic, administrative, and faith leader overseeing the school’s strategic direction, financial
health, community relationships, and daily operation. This role includes guiding the school-
family partnership, driving the fundraising effort, building the faculty culture of growth and
learning, ensuring the effective recruitment and retention of new families, and overseeing the
student experience. The Head of School attracts, retains, and manages a team of dedicated
administrators and teachers to ensure high quality development and implementation of
curriculum and programming around a shared sense of academic excellence, faith, community,
and purpose.

Sustainable Fundraising and Financial Oversight

● In coordination with the Director of Finance and Administration and the board of directors, develop a continuous process for generating multi-year financial plans and projections tied to enrollment strategies, endowment growth, philanthropic support, and the strategic objectives of the school.
● Develop, present, and adhere to the financial budget for operations and infrastructure investments to reflect the priorities and mission of the school.
Community Engagement
● Foster strong relationships within and beyond the school community, serving as a visible and engaged leader who embodies the Catholic mission and values of the school.
● Cultivate partnerships with alumnae, families, students and community organizations to strengthen support for the school's vision, enhance student experiences and promote the empowerment of young women grounded in faith, service and leadership.
● Communicate effectively and in a timely manner with stakeholders: students, parents, faculty, and staff.
Organizational Management and Development
● Establish high standards and best practices and foster a culture of accountability and excellence across the school for faculty and staff alike.
● Oversee and manage the senior administrative team, including the Director of Academics, Director of Finance & Administration, Chief Advancement Officer, Director of Enrollment, and the Director of Athletics.
● Hire, manage, develop, empower, and support the leadership team, and work closely with academic leaders to steward the faculty culture.
● Oversee all human resources activities including effective and timely hiring, professional growth, performance review, and retention of educators and administrators.
● Ensure the appropriate design, implementation, and maintenance of systems and procedures necessary to the successful functioning of the school. Monitor the effectiveness of daily school operations.
● Oversee the gathering and use of data - including faculty and staff input - to assess and enhance teaching and learning.

Director of Finance and Administration
POSITION SUMMARY
The Director of Finance & Administration is directly responsible for all aspects of the school’s business operations with primary responsibility for strategic financial planning, budgeting, accounting, internal controls, periodic financial reporting. The School’s Technology Coordinator and Facilities director report to the Director of Finance & Administration, and the position also oversees the school’s human resources firm. The position reports directly to the School Leader, serves as a key member of the senior leadership team, and serves as the liaison to the Board of Directors’ Finance and Human Resources Committee and Campus and Facilities Committee.
The ideal candidate is a mission-driven strategic thinker who has superb people skills, uncompromising
judgment and integrity, experience in an independent school (strongly preferred), and a demonstrated
commitment to hallmarks of the mission of the Sisters of Notre Dame de Namur. This is a full-time (12 month) position.
ESSENTIAL DUTIES & MANAGEMENT
Financial Management
● Responsible for strategic financial planning and contributing to long-term institutional sustainability.
● Leads the development of an overarching school financial strategy with the School Leader and Finance
Committee of the Board of Trustees, providing recommendations, financial analysis, projections, and
other data to inform the process.
● Prepares annual operating and capital budgets with the School Leader for submission to and approval by the Board of Trustees. Oversees the operating budget, providing periodic forecast updates.
● Prepares accurate and timely monthly financial statements to support informed decision-making and
ensure compliance with reporting requirements.
● Responsible for ongoing financial operations including accounts payables & receivables and reconciling of operating and investment accounts to ensure timely recording and reporting of the school’s business transactions.
● Responsible for tuition statements and collection. Works directly with parents and guardians regarding financial matters.
● Develops and maintains processes and procedures for key financial accounting and operating
responsibilities.
● Oversees all activities related to the School’s annual audit, including coordinating with the independent auditors and the Finance Committee of the Board of Trustees.
Advancement / Development
Supports the Chief Advancement Officer with:
● Depositing and reconciling incoming funds. Monitors accounts receivable schedules.
● Provides information needed to monitor the fulfillment of all scholarship commitments.
● Provides financial, enrollment, demographic, and financial data as necessary for grant writing proposals.
● Manages financial accounting and reporting for grant funds, ensuring compliance with donor restrictions, timely drawdowns, accurate tracking of expenditures and preparation of required financial reports.
Other Responsibilities
Human Resources
● Works with and oversees the School’s human resources consulting firm, as designated by the School
Leader.
Vendor Contracts
● Negotiates key contracts and expense agreements with vendors. Responsibility for maintaining the
documentation for all contracted vendors; including quotes, contracts, insurance, and liability
agreements, etc.
● Ensures the terms and conditions negotiated with contracts are clear and meet NDA financial and
insurance requirements. Is accountable to ensure consistency and to review and highlight concerns,
where needed to ensure that vendors fulfill their contractual obligations.
Campus & Facilities, Technology
● Participates in adopting a master facility plan for the school, assisting in strategic planning and decision processes for the school’s facility and technology infrastructure.
● Oversees and manages the School’s technology coordinator and facilities coordinator.
Risk Management
● Oversee risk management including insurance, emergency management plan, liability and safety
concerns as well as compliance with local, state, and federal regulations applying to school.
Education and Experience Requirements
● Bachelor or Master’s degree in finance or accounting preferred or demonstrated equivalent experience. Prior experience in a school setting is also preferred.
● Experience with nonprofit accounting standards (e.g. GAAP for nonprofits) and fund accounting is
strongly preferred.

Job Description
Job Title: School Counselor, Grades 9 and 10
FLSA Classification: Exempt
Responsible to: Dean, Student Services
Position Summary: The School Counselor is responsible to monitor the social, emotional, and behavioral progress of the students, and provide prevention, intervention, and referral services for students with social, emotional and behavioral challenges, as needed and to support the various functions of the Guidance Department, including Seminar classes, standardized and AP testing, and Student Services support.
Essential Duties and Responsibilities
- Contributes to, and maintains, the ongoing communication network between students, parents, teachers, and administrators as well as working with social agencies, etc.
- Monitor social/emotional/behavioral student progress via individual meetings
- Helps students apply academic achievement strategies and counsels students in regard to course selection and high school planning.
- Provide prevention, intervention and referrals for students with social/emotional/behavioral challenges, advocating for individual student needs, as necessary
- Maintains accurate and appropriate documentation and student records
- Collect, analyze, and use data to evaluate, develop, and implement an effective school counseling program
- Work cooperatively with students, teachers, and other appropriate staff to ensure trainings on specific topics such as bullying, substance use prevention, and mental health intervention are provided to teachers and students
- Work cooperatively with the Director of Academic Support to advocate for students with individualized academic and/or social-emotional needs; Assist with implementingIndividualized Student Success Plans (ISSP)
- Participates on transition team for students transferring into the school as re-entry from hospitalization to facilitate a positive adjustment and provides transitional counseling as needed
- Provide crisis response and risk assessment with students in acute crisis, as determined by school leadership
- Interpret educational assessments and medical evaluations in conjunction with the Director of Academic Support and School Nurse
- Participate and assist with the transition of students from grade to grade
- Conduct, consult and collaborate for school activities that promote healthy pro-social skills and positive school culture
- Assist in Guidance components, such as recordkeeping, seminar courses,, and testing
- Advise extracurricular activities as required
- Participate in some infrequent evening or weekend activities, including meetings, professional development, or other school activities
- Other duties, as assigned

Job Requirements
Minimum Acceptable Qualifications
- Massachusetts Certificate as School Counselor
- Master’s Degree in counseling or appropriate field
- At least 2 years of relevant experience preferred
- Effective verbal and written communication skill
- Enthusiastic interest in teaching, motivating, coaching and mentoring middle/high school students
- Commitment to building 21st Century Teaching and Learning practice
- Ability to serve as role model
- Ability to meet classroom, advisory, and extracurricular obligations on a consistent schedule
- Ability to attend meetings before and after the normal school day schedule and sometimes in the evening

Varsity Assistant / JV Soccer Coach

Position Summary
Notre Dame Academy is seeking a dynamic and competitive Varsity Assistant/ JV Coach to help lead the high school soccer program. NDA coaches are actively engaged in the community and embrace both the mission and values of St Julie Billiart, the Sisters of Notre Dame de Namur, and the Academy. The role of the Varsity Assistant/ JV Soccer Coach is to be responsible for coaching, character development, and providing direction to student-athletes so that they might achieve a high level of skill as well as an appreciation for discipline, sportsmanship, and teamwork in field hockey. This job requires you to interact thoughtfully and respectfully with student-athletes, fellow coaches, staff, parents, and the community, as well as follow the mission of the school. Positive communication strategies, organizational skills, and safety awareness are key requirements.
Essential Duties and Responsibilities
Following and upholding the policies and mission statement of Notre Dame Academy and communicating the vision of the Notre Dame Academy program to athletes and parents
Oversee the development of all levels of the soccer program.
Instructing and demonstrating skill sets and techniques necessary for individual and team development.
Coordinating parent meetings, tryouts, daily practice planning, game management, off-season programming, and community engagement.
Work closely with the athletic director to ensure all school policies/procedures are being followed as they relate to athletic programs (eligibility, parent meetings, registrations, tryouts, scheduling, equipment inventory/collection, off-season training programs, etc.)
Work directly with athletic trainers and the athletic director to report injuries, teach precautions and procedures to ensure staff/student safety, and help students prevent injuries.
Create a safe environment conducive to learning and appropriate for the physical, social, and emotional development of students.
Ability to represent NDA appropriately to the NDA school community, local soccer community, press, and the broader community
Understand the necessary commitment, expectations, and pressures associated with being the Assistant Varsity coach and JV head coach in a well-supported program.

NFHS Fundamentals of Coaching Certification
First Aid / CPR / AED certification
Completion of the NFHS Concussion in Sports Course
Must be available for practice and game times which begin around 3:00 pm daily during the week.
Understanding of and compliance with all MIAA/NFHS regulations and expectations
